1. Information we collect
We may receive information you choose to provide, including your name, email address, business details, location, website, enquiry and relevant review or website information.
When you use the Reputation Checker, we collect the business identity and email address entered, your consent choices and the public rating research generated in response to your request.
Technical information such as device, browser, approximate location, access time and pages viewed may be processed by our hosting, security or analytics providers where those services are enabled.
2. How we use information
We use information to deliver requested reports, respond to enquiries, assess potential work, provide agreed services, maintain records, secure our website and improve our services.
If you request a reputation report, FirstRank may contact you about that assessment. We send broader insights or service updates only when you make the separate optional marketing choice, and you can withdraw that choice at any time.
We do not use information submitted for a specific enquiry for unrelated purposes without an appropriate legal basis.
3. Reputation Checker research
The Reputation Checker may send the business name, location and website you provide to Google Places and an AI-assisted web research provider to locate public rating information. Your email address is used for report delivery and lead follow-up, and is not included in the public web-search prompt.
Public platform information can be incomplete, delayed or incorrectly matched. FirstRank uses matching safeguards, but you should verify the report before relying on it.
Incident-timeline entries and response drafts remain in your browser unless you choose to include them in an evidence PDF. Screenshots you attach are processed only to generate the requested evidence pack and are not retained as separate files by this feature.
4. Legal bases
Depending on the circumstances, processing may be necessary to take steps at your request before entering a contract, perform a contract, comply with legal obligations, pursue legitimate business interests or act with your consent. Where optional marketing relies on consent, you may withdraw it at any time.
5. Sharing and service providers
We may use trusted providers for website hosting, report research, contact-form and report delivery, email, security, professional advice and business administration. They should only process information as needed to provide their services.
We may also disclose information where required by law or necessary to establish, exercise or defend legal rights.
6. Retention and security
We retain information only for as long as reasonably needed for the purpose collected, contractual and legal obligations, dispute resolution and legitimate record keeping.
Reasonable safeguards are used, but no internet transmission or storage system can be guaranteed completely secure. Please do not submit sensitive personal files or confidential case material through the Reputation Checker.
7. Your rights
Under applicable UK data protection law, you may have rights to access, correct, erase or restrict information, object to certain processing, request portability and withdraw consent where consent is relied upon.
To ask a privacy question, withdraw marketing consent or exercise a right, email hello@firstrank.co.uk. You may also have the right to complain to the UK Information Commissioner’s Office.
8. Changes
We may update this policy when our services, providers or legal obligations change. The latest version will be published on this page.
