Businesses cannot delete customer reviews from their Google Business Profile. They can report content that may violate Google's Maps user-contributed content policies, and Google decides whether it is removed. The strongest approach starts with the specific policy issue rather than the fact that a review is negative.

Understand what can and cannot be removed

Google says that only reviews which violate its policies are eligible for removal. A low rating, a harsh opinion or a disagreement between a business and a customer is not enough by itself.

A genuine review may remain even if the business believes it is unfair. Reporting is more credible when it identifies a defined policy concern and provides factual context without attempting to rewrite the customer dispute.

Check the review against Google's policies

Google's prohibited and restricted content rules cover fake engagement, rating manipulation, off-topic or repetitive material, harassment, offensive content, personal information and other unsafe or deceptive contributions. The applicable ground depends on the actual words, account activity and context.

Do not select every possible reason. Identify the strongest, most specific concern and explain how the content fits it. A review that cannot be matched to a customer record may justify further investigation, but that fact alone does not prove fake engagement.

Preserve evidence before reporting

Capture the complete review, star rating, reviewer name, date and Business Profile. Record any legitimate internal checks, such as bookings, transactions or communications, while recognising that a reviewer may use a different name.

Keep customer and employee information private. Evidence should support the relevant policy issue without being posted publicly or collecting more personal data than the assessment requires.

Report the review through the correct Google route

A Business Profile owner can flag a review from the profile or use Google's Reviews Management Tool. Select the reason that most closely matches the suspected violation and keep a record of the submission.

Google advises that review evaluation typically takes several days. Repeated reports do not guarantee a different outcome and can make it harder to maintain a clear case record.

Check the decision and use the appeal carefully

The Reviews Management Tool can show whether a decision is pending or whether Google found no policy violation. If an eligible review is not removed, Google provides a one-time appeal route.

Use the appeal to clarify the strongest policy basis and relevant evidence. It should not simply repeat that the review is damaging. Google retains control of the final decision, so no adviser can responsibly guarantee removal.

Respond and improve the wider profile

While a review is being assessed, consider whether a calm public response would help future customers. Do not accuse the reviewer, reveal private information or offer an incentive for the review to be changed or removed.

If the review remains, focus on proportionate response, genuine customer feedback and the broader reputation picture. One review has less power when customers can see a substantial, credible and consistently managed profile.

Avoid shortcuts that create greater risk

Do not buy positive reviews, coordinate mass reports or reward a reviewer for changing negative feedback. Google prohibits incentivised and manipulated engagement, and serious or repeated violations can lead to profile restrictions.

Effective review removal is evidence-led and selective. It protects legitimate criticism while challenging content that may genuinely cross platform rules.
